The challenge

Where things stood

Operations staff spent most of the day answering "where is my shipment". Consignment data lived in forty spreadsheets, drivers reported by phone, proof of delivery arrived as photographs in a WhatsApp group, and invoices were raised days late because nobody could confirm what had been delivered. Detention charges were routinely discovered after the fact.

What we did about it

We spent four days in their operations room before designing anything. The main finding was that the spreadsheets were not the problem — they were a symptom of drivers having no practical way to report status from a port or a highway.

So the driver app came first, built offline-first with large touch targets, minimal typing and automatic photo capture for proof of delivery. Once drivers were reporting reliably, the office system had real data to work with.

The customer portal followed, exposing the same data to shippers directly. Status enquiries fell sharply within a month of launch, which freed the operations team to work on exceptions instead of answering the phone.
